Auxiliary Events

The Gospel Coalition is eager to partner with like-minded ministries and organizations at our upcoming conference, The Power to Persevere: Revelation’s Letters to the 7 Churches, hosted in Indianapolis, Indiana, on April 5-7, 2027. We view our auxiliary event hosts as partners in the work of promoting, preserving, and sharing the gospel message with our conference attendees. We look forward to working with your organization as you host an auxiliary event.

 

What is an Auxiliary Event?

An auxiliary event is a standalone event hosted by a partner during the off-hours of TGC’s Church Conference. These events include meaningful content for the attendees and optional food/refreshments appropriate to the scheduled time. Any refreshments are provided by the hosting organization and ordered directly from the convention center catering department. While content can differ from the conference theme, it must complement the conference, align with TGC’s Foundation Documents, and benefit our attendees.

Some examples of past auxiliary events include:

  • “How to Study and Pray the Psalms” at TGCW26
  • “Grounding Parenting in God’s Grace to You and Your Kids” at TGCW24
  • “How to Have Healthy Disagreements Within Your Church” at TGC25
  • “Trauma and Abuse in the Church: A Biblical Response” at TGC23

All auxiliary events must be approved by TGC.


TIME SLOTS & ROOMS

You will be asked to select your top three event time slots as well as your preferred room size in your application and assignments will be made on a first come, first serve basis. Please note, the exact times listed below are subject to change but the general time slots will not.

Monday 4/5

5:15 - 6:45 PM

 

Tuesday 4/6

7:30 - 8:45 AM
(Due to staffing restrictions, AV beyond one basic wired mic will not be available in small rooms during this time slot)

12:15 - 1:15 PM
(In order to accommodate for breakout sessions that will begin at 2pm, the lunch time slot will be limited to 1 hour and hosts will be required to clear their rooms by 1:30pm)

5:30 - 7:00 PM

9:15 - 10:30 PM
(Due to staffing restrictions, AV beyond one basic wired mic will not be available in small rooms during this time slot)

 

Available Rooms & Capacity

Small (100-250 Banquet or Theater)

Medium (400-600 Banquet or Theater)

Large (700-850 Theater)

Premium (3,000+ Theater)


Pricing

Hosting Fee

The hosting fee varies depending on the size of the room:

  • Small: $1700
    • Includes AV technician fee, 1 wired mic
  • Medium: $3,000
    • Includes AV technician fee, 1 wired mic
  • Large: $4,250
    • Includes AV technician fee, 1 wired mic
  • Premium: $7,000
    • Includes AV technicians, LED Screen, 2 wireless mics

This cost covers the room rental, set up, and basic AV. Any additional AV equipment will require a rental fee (see options below). Once your event is approved, we will provide an invoice for the hosting fee. Payment must be made within 30 days of receipt in order to confirm your auxiliary event spot. The remaining balance for any additional expenses will be sent after the conference.


Audio/Visual Options

The following items need to be reserved in advance.

  • Projector and Screen: $800
  • Wired Mic: $100 each
  • Wireless Mic: $200 each
  • Video Recording: $750 * Not available in all rooms
  • Audio Recording: $300

Planning

Catering

Catering is available through the convention center’s catering department, Sodexo Live. Outside food is not allowed to be served at the Convention Center. You can view the current menu and prices here. Catering orders are placed by emailing Josefa Mateo-Lujan at Josefa.Mateo-Lujan@sodexo.com. Catering orders are due 30 days before the event and payment will go directly to Sodexo.

 

Promotion

While it is your responsibility to promote your event, all public auxiliary events will be listed on the TGC conference website. An event title and 100-word description will be required when registering. It is required that those hosting a public auxiliary event create a registration form to be included on our website. If you would like to host an unlisted, private event, please mark “private” on your application.

 

Set Up

In your application, you will select a room that has theater seating or banquet seating. Seating arrangements cannot be changed after your time slot is confirmed. All rooms will have a small stage and you can request either a podium or panel seating.

 

Registration

Your auxiliary event hosting fee does not include conference registrations. Anyone joining as a host or speaker of the auxiliary event must register for the conference. If a speaker for your auxiliary event is not already attending TGC27 as a conference speaker, you must register him/her as a general attendee. Please note that speakers who are only speaking for an auxiliary event are not considered an official TGC conference speaker.

 

Important Dates

November 20: Applications due

December 11: Final changes to event descriptions must be submitted

December 11: No refunds for cancellation after this date (50% refund prior to Jan 16)

March 5: Catering orders due to Sodexo Catering
