Each booth will include:
Exhibitor Move-in
Exhibitors must set up their booth by 8:00 p.m. on Sunday, April 4, 2027. Check in at the TGC Exhibitor Host Booth between 12:00 and 8:00 p.m. on Sunday to receive the conference program, badges, and other event essentials. You will receive an email two weeks before the conference that will include more specific check-in information. Guidelines that are not followed may result in the loss of allocated space. Any space unclaimed or unoccupied by the end of the Exhibitor’s move-in may be resold or reassigned by TGC without obligation of TGC for any refund.
Exhibit Setup
Exhibitors will be held responsible for any damage to persons or property caused by their exhibits, employees, agents, or staff. Exhibitors may not cement, nail, tack, tape, or attach any material to any floor, wall, or column unless approved in advance by TGC. All displays must be entirely contained within the exhibit booth dimensions, including tables, chairs, signs, etc. No item to be displayed may exceed the height of 4’ above the floor within 4’ of the booth’s frontside perimeter and no item may exceed the maximum height of 10’ above the floor for 10’ x 10’ and 20 x 10’ booths. 20’ x 20’ and larger booths may use their entire cubic content up to 10’ in height and may not exceed this height without written permission from TGC. No signs may be hung above the exhibit booth unless approved by TGC and will incur additional fees for air space. The Exhibitor is responsible for bringing all supplies necessary to set up their booth.
Use of the Exhibit Space
Exhibitors may not sell any item from the exhibitor space unless approved by TGC as a Market vendor. Exhibitors may offer complimentary gifts or products to attendees. Exhibitors may use their booth and their booth only for the distribution of literature, products, etc. Organizations cannot share (sublet) their booth(s) with other organizations. No fundraising is to take place at the conference.
Exhibit Tear Down
To ensure the success of the exhibit hall for all partners and the safety of our attendees, tear-down is prohibited until the close of the conference, Wednesday, April 7, at 1 p.m. Dismantling your booth prior to this time is disruptive to the conference experience and the sessions in the Main Hall. All exhibitors must be moved out by 4:30 p.m. Any exhibitor dismantling their booth before the official close of the conference without written permission will be placed at the bottom of the next conference application queue. At best, this means a later consideration for booth placement, and at worst, could result in the inability to exhibit due to lack of space.
Exhibit Staffing
For the success of your booth and the event, we encourage exhibitors to manage their booth during peak hours to the best of their ability. Peak hours include check-in hours, midday, dinner, and the final morning of the conference. TGC is happy for you to join our keynote sessions but please ensure attendees are given access to seating first. Please consider using a small ‘we will return sign’ to inform passport participants when you will return to your booth. TGC is not responsible for the security of any unattended booths. We ask that all exhibitors be dressed modestly in good business taste and conduct themselves in a professional manner at all times during the exhibition.
Exhibit Booth Sound
During keynote sessions and main stage events, sound from your booth must be shut off completely.
Passport Program
Every exhibiting partner is expected to participate in the conference Passport Program with the exception of Market Booths. The Passport Program is designed to encourage attendees to visit exhibitors throughout the Exhibit Hall and provide exhibitors with an opportunity for meaningful connections. All exhibitors, including Market Booths, are invited to donate to the Passport Prize Pack.
Raffles & Drawings
Prizes, drawings, awards, raffles, or special discount offers must be equally offered to all attendees and only promoted within the exhibitor’s assigned booth. Promotional materials are not to be left anywhere outside an exhibitor’s booth without written permission from TGC. The exhibitor is responsible for securing and storing giveaway items. No public announcements of winners are permitted.
Photography & Videography
Exhibitors may take photos or videos within their booth. If posting on social media, we ask that you use #TGC27 and tag @thegospelcoalition. Exhibitors may not solicit speakers or attendees for photos or video interviews. Exhibiting in the Exhibit Hall grants permission to TGC photographers/videographers to capture images of exhibitors and their booths for the use of TGC.
Exhibitor Accommodations
Exhibitors are responsible for their travel, lodging, and meals. All attending staff must register for the conference. Upon payment of your invoice, TGC will provide the registration link and complimentary discount codes for the allotted number of exhibitors included with your purchased booth space. Visit the TGC27 Travel Page for information on hotel reservations and other details.
Insurance
Per Shepard Exposition Services, each exhibitor must carry general liability event insurance for TGC27. Event insurance is affordable and may be purchased online through a trusted carrier if your general insurance coverage does not already include events.
General
The rights and privileges of an exhibitor shall not be infringed upon by any other exhibitor. TGC has the right to decline or prohibit any display or portion thereof which, in the opinion of TGC, is not proper or in keeping with the character of the conference. TGC has the right to enforce any and all portions of these rules and regulations to ensure the success of all exhibitors and the safety of all attendees.
